Before You Use This Article

Load Manager normally assigns load numbers automatically. If your company needs to enter a specific number, continue an existing sequence, or correct a load number, an administrator can turn on manual load number entry in Settings > Configuration Options.

Before You Begin

  • Use the Load Number field for your company's Load Manager load sequence.
  • Load numbers should be numeric and can be up to 12 characters.
  • Load Manager checks for duplicate load numbers and alerts you if the number is already in use.
  • Use reference fields, not the load number, for customer PO numbers, pickup numbers, delivery numbers, or customer-provided values that include letters.

Turn On Manual Load Number Entry

Manual entry must be enabled before users can enter or change the load number on a load.

  1. Go to Settings.
  2. Select Configuration Options.
  3. Find Allow Load # Entry.
  4. Turn the setting on.
  5. Click Save.

Enter or Change the Load Number

After manual entry is enabled, the load screen displays an editable Load Number field.

  1. Open the load you want to update, or start a new load.
  2. Enter the number in the Load Number field.
  3. Review the rest of the load for accuracy.
  4. Click Save or Save & Exit.

If the number is already used on another load, choose a different load number before saving.

Set Your Starting Load Number

If you are moving from another system or want Load Manager to continue a specific numbering sequence, set the starting number before creating additional loads.

  1. Go to Settings > Configuration Options.
  2. Find the load numbering settings.
  3. Enter the number you want Load Manager to use as the starting point.
  4. Review whether your company also uses Assign New Load # For Booked Loads.
  5. Click Save.

When Assign New Load # For Booked Loads is enabled, Load Manager can assign a new load number as a load moves forward in the workflow. Use that setting only if your company intentionally separates quote, active, or template numbers from booked load numbers.

Load Numbers vs. Reference Numbers

Do not change the Load Number just because a customer gives you an order number that contains letters or special characters. Keep the load number for the Load Manager sequence and enter customer-specific information in the appropriate reference field.

  • Customer PO #: Use for the customer's main PO, order, or reference number.
  • Pickup #: Use for pickup-specific reference numbers.
  • Delivery #: Use for delivery-specific reference numbers.
  • Internal Ref #: Use for an internal reference your team wants to track.

Troubleshooting

  • I do not see a Load Number field: Confirm that Allow Load # Entry is turned on in Configuration Options.
  • The number is already in use: Search for the existing load, then choose a different number if the current load should remain separate.
  • The number has letters: Enter it in a reference field instead of the Load Number field.
