Set or Change Currency on a Load, Invoice, or Quote

Before You Use This Article

Use this article when a load, customer invoice, or quote needs to show a currency such as USD or CAD.

In Load Manager, currency is selected on the load. The customer invoice or quote uses the saved load currency when the document is opened or generated.

Changing the currency does not convert existing dollar amounts. After changing currency, review the load rates and totals before sending the invoice or quote.

Before You Start

  • Foreign Currency must be active in Settings >> Configuration Options.
  • You need access to edit the load.
  • If you are turning on currency options for the first time, you need permission to edit Configuration Options.
  • Have the correct customer and carrier or driver rates ready in the currency you plan to use.

Turn On Foreign Currency

  1. Go to Settings >> Configuration Options.
  2. Find the foreign currency settings.
  3. Turn on Activate Foreign Currency.
  4. Confirm the Default System Currency.
  5. Select the currencies your company needs to use.
  6. Click Save.

If you do not see these settings, ask your Load Manager administrator to review your permissions.

Set Default Currency on Customer, Carrier, or Driver Profiles

Default currency can be set on profiles after Foreign Currency is active. This helps Load Manager populate the load with the expected currency when a customer, carrier, or driver is selected.

  • Customer profiles: Use the customer's default currency for the customer side of the load.
  • Freight Broker and Dispatch Service accounts: Use the Carriers tab to review carrier currency. A carrier driver may be stored as a contact on the carrier profile.
  • Carrier and Trucking accounts: Use the Driver tab to review driver currency. These accounts use drivers where broker and dispatch service accounts use carriers.

Profile defaults help with data entry, but the load is the final place to review the currency and amounts before creating documents.

Change Currency on a Load

  1. Open the load.
  2. Review the customer billing or customer rate area and select the correct customer currency.
  3. Review the carrier or driver area and select the correct carrier or driver currency.
  4. Review the customer rate, carrier or driver rate, and any line items in the Commodities and Accessorials table.
  5. Click Save.

The exact label can vary by account type. Freight Broker and Dispatch Service accounts usually show a carrier section. Carrier and Trucking accounts usually show a driver section.

Review Rates After Changing Currency

Currency changes affect how the amount is labeled on the load and customer documents. They do not automatically recalculate amounts or exchange rates.

Before sending an invoice or quote, review:

  • Customer flat rate, miles charge, and total customer charges
  • Carrier or driver rate and total carrier or driver charges
  • Rows in the Commodities and Accessorials table
  • Payment Advance rows, if the customer already paid a deposit or partial payment
  • Direct Cost rows, if your company tracks load-level expenses
  • Invoice or quote amount due

If the customer and carrier or driver currencies are different, some percentage-based carrier fields may be unavailable. Review those amounts manually before saving.

Create the Invoice or Quote with the Selected Currency

  1. Save the load after reviewing the currency and amounts.
  2. Open the customer invoice or quote from the load screen.
  3. Confirm the document shows the correct currency code and total.
  4. Confirm the amount due is correct.
  5. Send, print, or save the document using your normal workflow.

Account Type Notes

  • Freight Brokers: The load uses a carrier assignment and Rate Confirmation workflow. Customer invoices and quotes still use the customer currency saved on the load.
  • Dispatch Services: The load uses a carrier assignment and Dispatch Report workflow. If your company charges a Dispatch Service fee, review the fee amount after changing currency.
  • Carriers and Trucking Companies: The load uses a driver assignment and Dispatch Report workflow. Review driver pay amounts after changing currency.

Troubleshooting

  • I do not see currency dropdowns on the load. Confirm Activate Foreign Currency is turned on in Settings >> Configuration Options.
  • Preset commodity or accessorial pricing did not fill in. Review the default currency on the customer, carrier, or driver profile. If the selected load currency is different, enter the correct rate manually.
  • The invoice or quote still shows the old currency. Save the load, then reopen or regenerate the invoice or quote.
  • The totals look wrong after changing currency. Currency selection does not convert amounts. Review and update the rate fields manually.
