Customer Invoice and Quote Layout

Load Manager TMS provides automated invoice and customer quote report for each load automatically.  A Customer Quote will automatically generate when the load is in invoice status.  The Invoice Report is one of several reports that automatically generate on a saved load in active status or higher.  


Customer Invoice and Quote automatically generates as a PDF  
  1. You can either download the invoice a PDF by clicking on the button at the top of the load board that say invoice
  2. Or you can email the invoice directly to your customers by clicking on the letter icon to the left of the invoice button   
The Customer Quote/Rate and the Customer Invoice Report have a similar layout so we will be using the Invoice format for hte purposes of this article.  The same information applies to the Customer Quote/Rate layout.

Above is a sample of what the Customer Invoice:
  1. Load Number  - corresponds to the load number the invoice was generated for Note: If the Load Number is longer than 8 digits it will only show the first 8 digits by default (to change this please contact the Load Manager Support Team)
  2.  PO#  - corresponds to this circled field below located on the Load Screen

  1. Amount: Total customer price for the Load, corresponds to the fields below located on the Load Screen

  1. Terms:  To change the payment terms for a specific customer. Go to to the customer's profile and fill out the Payment Terms text box to customize.  The default settings will say "Due Upon Receipt"    If you want to change the default terms.  Go to "Settings" and choose "Configuration Options".  Enter in your preferred default terms in the "Payment Terms" field.  Press "Save".

As you see the main part of the invoice is pulled directly from the information you put have entered in your load.  *If you are dispatching a load on behalf a customer, the From section will show your customer's data instead or your company data. Note" that if your load as multiple stops the Pickup section will show the first stop and the Delivery section will should the last stop.  A full list of stops will be show further down. 

Stops Detailed


Under each stop is listed the commodities and accessorials associated with each stop.  In this example we have Lumper fee added for Benjamin Moore-Home Depot.   This fee is created on the Load screen. To add a commodity or accessorial like the lumber fee go to the corresponding load screen and look for this table.    Here is an example from this invoice's corresponding load screen.   


Note, in this example, there are two rows shown here: one is the Lumber Fee shown on the invoice and one a record of how much the Fencing weighed, that is not listed on the invoice.  To create an commodity that does not show up on the invoice simple do this: 
  1. Go to Commodity Type under the All Loads Tab. 
 
  1. Click on the commodity you want to modify or click Add New.  On the commodity unit screen click on Hide on Customer Invoice.  This will hide the commodity on an invoice but it will not impact if any weight that is recorded in the load.

  2. Customer Notes - General Customer Terms are found under SETTINGS >> CONFIGURATION OPTIONS as shown here: 

  3. Customer specific Customer Terms can be found CUSTOMER INFORMATION profile under CUSTOMER tab.  Under the CUSTOMER tab click on the customer name you wish to create specific customer terms for,  The specific customer terms should be written on the Customer Terms field shown below.  

Factoring


If  a factoring company is being used.  The Notice of Assignment will appear directly below it.  If there is no factoring company being used,  You will just have a notes section, 
To create or modify the Notice of Assignment for the factoring company - Do this:
      Click on Factoring under the My Loads or All Loads  tab submenu.

Select the factoring company you want to modify (or click Add New to input an new factoring company).  Modify the text box that says "Invoice Remit Information" to your specification.  Make sure "Print on Invoice: is checked and click Save

 

 (Note: Above is the platform default "Notice of Assignment" which appears when "Auto-Fill" button is selected) 
Now the "Invoice Remit Information" will appear on any invoice for your customer that has this factoring company attached to their customer profile through their customer information page shown here.
