Before You Use This Article

Use this article when you need to connect or reconnect QuickBooks Online so Load Manager can sync accounting information through the QuickBooks integration.

Before you start: QuickBooks must be enabled for your account.

Before You Start

  • Confirm you can sign in to the correct QuickBooks Online company.
  • Use a QuickBooks user that has permission to authorize third-party apps.
  • Make sure you are connecting the QuickBooks company that should receive Load Manager invoices, bills, customers, carriers, and related accounting records.

Connect QuickBooks Online

  1. In Load Manager, open the QuickBooks integration or accounting setup area.
  2. Click the option to connect or log in to QuickBooks Online.
  3. Sign in to Intuit/QuickBooks when the QuickBooks window opens.
  4. Select the correct QuickBooks company.
  5. Approve the connection.
  6. Return to Load Manager and save the settings if prompted.

What Load Manager Saves During the Connection

When QuickBooks Online authorizes the connection, Load Manager saves the QuickBooks company connection details needed for future syncs. Load Manager also checks for required default accounting records, such as accounts, terms, and items, so invoices and bills can sync consistently.

After Connecting

  1. Review your QuickBooks default accounts, items, and payment terms in Load Manager.
  2. Confirm customer and carrier records are set up correctly before exporting or syncing accounting data.
  3. Test the workflow with a known load before relying on the integration for a large batch.

Troubleshooting

  • The QuickBooks login window does not open: Check whether your browser blocked the pop-up, then try again.
  • You connected the wrong QuickBooks company: Disconnect or reconnect using the correct QuickBooks company login.
  • QuickBooks asks for authorization again: Sign in and approve the connection again. QuickBooks may require reauthorization if access changes or the connection expires.
  • Sync still fails after connecting: Note the error message, load number, customer/carrier involved, and whether the issue happens with invoices, bills, or both.

Security Reminder

Do not send QuickBooks passwords through email or ticket comments. If support is helping with the connection, provide the error message and the QuickBooks company name, not the password.
