Track Driver Compliance Expiration Dates

Before You Use This Article

Load Manager can help you track driver compliance dates so your team can see when a driver's CDL, physical, workers compensation, or drug test information is expired or close to expiring.

This article applies to accounts that use the Drivers tab. Freight Broker and Dispatch Service accounts usually manage outside carriers and carrier driver contacts from the Carrier tab instead.

Set the Notification Window

The notification window controls how many days before an expiration date Load Manager starts flagging the driver on the expiring-events screen.

  1. Go to Settings > Configuration Options.
  2. Find the driver expiration notification setting.
  3. Enter the number of days before expiration that you want Load Manager to flag the driver.
  4. Click Save.

If the setting is not available, Load Manager uses a default notification window. If you are unsure what value to use, choose a window that gives your team enough time to renew documents before they expire.

Enter Expiration Dates on the Driver Profile

  1. Go to Drivers.
  2. Open the driver profile, or create a new driver profile.
  3. Enter the applicable compliance dates.
  4. Click Save.

Common driver compliance fields include:

  • CDL Expires: Commercial driver's license expiration date.
  • Physical Expires: DOT physical expiration date.
  • Work Comp Expires: Workers compensation expiration date.
  • Last Drug Test: Most recent drug test date.

View Expired or Expiring Drivers

  1. Go to Drivers > Drivers with Expired or Expiring Events.
  2. Review the list of drivers with dates that are expired or within the notification window.
  3. Use the search field if you need to find a specific driver.
  4. Select Show Inactive if you also want to include inactive drivers.

CDL, physical, and workers compensation dates display in red when they are expired or within the configured notification window. Last Drug Test is also shown in this list and is flagged separately when the test date is old enough to require attention.

Use Driver Tags

Driver tags help you organize and search driver records. For example, you might use tags for regions, equipment types, owner-operators, company drivers, or special certifications.

  1. Open the driver profile.
  2. Find the Tags field above Driver Code.
  3. Enter or select the tag.
  4. Click Save.

After tags are saved, use the driver list search or filters to find drivers in that group.

Best Practices

  • Review expiring driver events before assigning a driver to a load.
  • Keep inactive drivers hidden during daily work unless you specifically need to audit older records.
  • Use consistent tag names so drivers are easy to group and find.
  • Update compliance dates as soon as a renewed document is received.

Troubleshooting

  • You do not see the Drivers tab: Your account may not use driver-based workflows, or your user may not have access.
  • A driver is not listed: Check the driver's profile, status, expiration dates, and the Show Inactive option.
  • Dates are not highlighted: Confirm the expiration date is within the configured notification window. For Last Drug Test, review the date itself because that field is flagged separately from the CDL, physical, and work comp window.
  • The alert window seems wrong: Review the driver expiration notification setting in Configuration Options.
