Add a Driver to a Carrier Profile

Before You Use This Article

  • Access needed: Outside-carrier management in Load Manager. This is for companies that broker freight or dispatch for carrier customers.
  • Use this article when: you are a freight broker or dispatch service working with outside carriers, carrier packets, safety checks, or carrier contacts. Full company paths: Freight Brokers or Dispatch Services.
  • Use a different article when: you run a trucking-only company and need company driver, equipment, or dispatch-report workflows; use Dispatch Report Overview for Carriers and Trucking Companies.

Use this article when you work with outside carriers and want to save a driver's contact information under that carrier. This applies to Freight Broker and Dispatch Service accounts that use the Carrier tab. Carrier or Trucking Company accounts use the Driver tab for company drivers instead.

Screen cue: open the carrier profile first, then use the driver/contact area to add or update driver contacts tied to that carrier.

Before you start: Applies to freight broker and dispatch service accounts that manage outside carriers.

Before You Start

  • The carrier should already exist in your carrier list.
  • Have the driver's name, cell phone number, and email address if available.
  • If the driver will receive Mobile Dispatch, Driver Web App, MacroPoint, or Trucker Tools requests, confirm the cell phone number is correct.

Open the Carrier Profile

  1. Go to the Carrier tab.
  2. Search for the carrier.
  3. Open the carrier profile.

Add the Driver Contact

  1. Find the contact, office, or driver/contact area on the carrier profile.
  2. Enter the driver's name.
  3. Enter the driver's phone or cell phone number.
  4. Enter the driver's email address if you want to email dispatch information or documents to that driver.
  5. Save the carrier profile.

New carrier driver contact popup

Screen cue: use the driver contact popup on the carrier profile to save a reusable driver name, phone, email, and related contact details.

Use the Driver on a Load

  1. Open the load.
  2. Select the carrier in the carrier section of the load.
  3. Select or enter the driver information for that carrier.
  4. Confirm the driver's phone number before sending Mobile Dispatch, Driver Web App, MacroPoint, Trucker Tools, or other tracking requests.
  5. Save the load.

If you type a new driver on the load and choose to save that driver for the carrier, Load Manager can add that driver contact back to the carrier profile for future loads.

Important TMS Difference

  • companies that broker freight: Use the Carrier tab for trucking companies and their driver contacts. Freight Brokers use Rate Confirmations for carrier/driver load documents.
  • companies that dispatch for carriers: Use the Carrier tab for carriers and their driver contacts. Dispatch Services use Dispatch Reports, not Rate Confirmations, for the carrier/driver report workflow.
  • companies that run trucks: Use the Driver tab for your own drivers. Do not use this article for company driver setup.

Troubleshooting

  • The carrier does not appear on the load: Confirm the carrier is active and saved.
  • The driver does not receive a text: Confirm the driver cell phone number has 10 digits and is assigned to the load.
  • The wrong report label appears: Confirm your TMS type. Dispatch Service accounts use Dispatch Reports, while Freight Broker accounts use Rate Confirmations.
  • Your account has a Driver tab instead of a Carrier tab: You are likely using the companies that run trucks type. Add the driver from the Driver tab instead.
