Set Up Company Info and Logo in Load Manager

Before You Use This Article

Use Company Info to control the main company name, address, contact details, logo, and default terms that appear throughout Load Manager. Set this up before sending customer invoices, quotes, rate confirmations, dispatch reports, bills of lading, or other documents.

Before You Begin

Have the following information ready:

  • Company name and main contact.
  • MC number and SCAC, if your company uses them.
  • Company email address.
  • Mailing address, phone number, and fax number.
  • A clean logo file in JPG, JPEG, PNG, GIF, or BMP format.
  • Default terms for carrier-facing or driver-facing documents, if you want Load Manager to use custom terms.

Open Company Info

  1. Go to Settings.
  2. Select Company Info from the submenu.
  3. Review the existing company details before making changes.

Update Company Details

The Company Info screen can include these fields:

  • Label Name: The display label used when Bill From Companies are enabled.
  • Company Logo: The logo file used for branding.
  • Company Name: The company name used on documents and reports.
  • Contact: The main company contact.
  • MC# / SCAC: Your company MC number and SCAC, if applicable.
  • Email: The company email address.
  • CC on all emails: Sends a copy of outgoing emails to the company email address when enabled.
  • Address, Address 2, City, State, Zip code: The company mailing address.
  • Phone No and Fax: The company phone and fax numbers.
  1. Update any missing or outdated details.
  2. Review the email address carefully. Load Manager checks that it is formatted like a valid email address before saving.
  3. Click Save.

Upload or Change the Company Logo

  1. Open Settings >> Company Info.
  2. In Company Logo, choose the logo image from your computer.
  3. Confirm the selected file name appears beside the logo field.
  4. Click Save.
  5. Refresh Load Manager and confirm the logo appears correctly in the header or preview area.

Logo File Guidelines

  • Use a JPG, JPEG, PNG, GIF, or BMP file.
  • Use a clear image with good contrast.
  • A square or near-square logo usually displays more consistently than a very wide or very tall image.
  • Avoid tiny, blurry, stretched, or low-contrast images.
  • Do not use file names that contain special characters such as slashes, colons, asterisks, question marks, quotation marks, angle brackets, or vertical bars.

Set Default Terms for Reports

Company Info also includes a terms section for carrier-facing or driver-facing reports. The field label changes based on your TMS type:

  • companies that broker freight: Carrier Terms.
  • companies that dispatch for carriers: Carrier/Driver Terms.
  • Carrier/Trucking TMS: Driver Terms.
  1. Check Use Custom Carrier Terms for Rate Confirmation/Dispatch Report if you want to enter terms on this screen.
  2. Enter the terms that should appear on the report.
  3. Use Preview Report to review the report output.
  4. Use Go to Dispatch Settings when you need to review additional dispatch report or rate confirmation settings.
  5. Click Save.

Review Document Branding

After saving company information or a logo, open a sample document and confirm the branding looks correct. Review the documents your company actually uses, such as:

  • Customer invoice or quote.
  • Rate Confirmation for companies that broker freight accounts.
  • Dispatch Report for Dispatch Service or Carrier/Trucking TMS accounts.
  • Bill of Lading.
  • Carrier onboarding email or packet, when used.

Review Related Company Settings

Company Info is only one part of system setup. After the company profile is accurate, review the related settings that control workflow defaults.

  • Configuration Options: Company-wide defaults for documents, emails, billing, load entry, mobile dispatch, tracking, and integrations.
  • Bill From Companies: Additional billing entities, when your account uses more than one Bill From company.
  • User Roles: What each user can see and do in Load Manager.
  • Load Status: Your company's workflow status names and behavior.

Troubleshooting

  • The logo does not appear: Refresh the browser and confirm the Company Info page saved successfully.
  • The logo file is rejected: Confirm the file is a real JPG, JPEG, PNG, GIF, or BMP image and that the file name does not contain restricted characters.
  • The logo looks stretched or blurry: Upload a cleaner logo file with better resolution.
  • Documents still show old information: Confirm Company Info was saved, then regenerate the document from the load.
  • You cannot access Company Info: Ask an administrator to review your user role permissions.
  • You use multiple billing companies: Review Bill From Companies so the correct billing identity is selected where needed.
